Key Accountabilities

Candidate needs to possess excellent organizational skills and the ability to prioritize along with attention to detail regarding the following:

1.      Scheduling. Manage all aspects of the CEO’s schedule, including:

a.     Breakfast, lunch, dinner meetings, both business and social, both initiated by the CEO and responding to an invitation/opportunity.

b.     Social Events. Parties, fund-raisers and other off-hours business or personal activities.

c.     Trips. Business-related and personal.

d.     Conferences.

e.     Speaking Engagements.

f.      Other activities as directed.

2.      Calendar. Manage additions, changes and deletions from CEO’s master calendar. Prepare daily calendar file – print the next day’s calendar.

3.      Computer.  Keep all CEO’s contact lists updated.

4.      Outbox. Clear and distribute items from CEO’s out-box.

5.      Inbox. Manage the volume of items in CEO’s in-box. Prioritize items, and forward or re-route non-priority or inappropriate materials as directed.

6.      Mail. Process incoming mail. Separate personal mail from publications and “junk” mail; prioritize for action based on CEO direction.

7.      E-mail. Screen CEO’s e-mail in-box for spam and junk mail; delete or forward as appropriate.

8.      Tickler file. Maintain a list of ongoing commitments and priorities, and remind CEO of impending deadlines as appropriate.

9.      Incoming calls. Screen incoming calls and route them to CEO or designated staff member based on level of priority.

10.  Conferences and Speaking Engagements. The CEO is an active conference participant/presenter and keynote speaker. Route appropriate opportunities to her attention; confirm her participation as directed; coordinate appropriate travel & lodging arrangements; prepare supporting materials (handouts, notes, driving directions, etc.).

11.   Special Event Coordination. 

12.   Other Duties to include.

a.   Entering of CEO’s timeslips.

b.   Preparation and distribution of Client Assignments.

c.   Provide back-up to the Receptionist and Business Manager as appropriate.
